The Contemporary A Cappella Society of America ("CASA," "we," "us," or "our") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard personal information when you use the CASA Archive website and submit materials to our programs — the Contemporary A Cappella Recording Awards (CARAs), the A Cappella Video Awards (AVAs), and the sing! Compilation (collectively, the "Services").

Please read this Privacy Policy carefully. By using the Services, you agree to the practices described below.

1. Information We Collect

1.1 Information You Provide

We collect information you give us directly when you create an account, submit materials, or communicate with us:

Group & Artist
  • Group or ensemble name
  • School or organizational affiliation
  • Member roster and individual names
  • Geographic location
  • Program-specific eligibility info
Payment
  • Card number, expiration, and CVV
  • Billing address
Media Files
  • Audio recordings (MP3, WAV, FLAC)
  • Video recordings (MP4, MOV)
  • Album artwork and associated images
  • Track metadata and liner notes
Payment card security: Payment card details are collected and processed by our third-party payment processor and are not stored on CASA's servers. We receive only limited transaction confirmation data (e.g., last four digits of a card, transaction ID).

We also retain any messages, inquiries, or feedback you send to us directly.

1.2 Information Collected Automatically

When you visit the Archive website, we and our service providers may automatically collect certain technical information, including:

  • IP address and approximate location derived from it;
  • Browser type and version;
  • Operating system;
  • Pages visited, time spent on pages, and referring URLs; and
  • Device identifiers.

We may use cookies, pixel tags, and similar tracking technologies to collect this information and to remember your preferences. You can control cookies through your browser settings; disabling cookies may affect certain features of the Services.

1.3 Information from Third Parties

We may receive information about you from third parties, such as payment processors confirming a transaction or social media platforms if you connect a social account to the Services.

2. How We Use Your Information

Providing the Services

  • Operating and maintaining the Archive, including hosting and displaying submitted recordings;
  • Processing your submissions and account registrations; and
  • Processing payments for submission fees and sending receipts.

Running Our Programs

  • Administering the CARAs, AVAs, and sing! Compilation, including eligibility verification and judging;
  • Communicating with you about your submissions, nominations, and awards; and
  • Producing and distributing the sing! Compilation, including attributing recordings to their creators.

Communications

  • Sending administrative emails (account confirmations, submission receipts, program updates);
  • Responding to your questions and support requests; and
  • Sending promotional communications about CASA programs and events, with your consent where required by law.

Improving the Services

  • Analyzing usage trends and improving the functionality and content of the Archive; and
  • Troubleshooting technical issues.

Legal and Safety Purposes

  • Enforcing our Terms of Service and other policies;
  • Complying with applicable laws and legal process; and
  • Protecting the rights, safety, and property of CASA, our users, and the public.

3. How We Share Your Information

We do not sell your personal information. We may share your information in the following circumstances:

With Program Judges and Panelists

Submissions entered in the CARAs or AVAs, along with associated artist and group information necessary for judging, are shared with CASA-selected judges and panelists who are bound by confidentiality obligations.

For the sing! Compilation

Recordings selected for the sing! Compilation, along with artist and group credits and biographical information, are shared with CASA's distribution partners and made publicly available as part of the Compilation release.

With Service Providers

We share information with third-party vendors who assist us in operating the Services, including web hosting providers, payment processors, and email delivery services. These providers are authorized to use your information only as necessary to perform services on our behalf.

For Public Recognition

With your submission, you consent to CASA publicly identifying your name, group name, school or organizational affiliation, and Submission in connection with award nominations, winners' announcements, Archive listings, and CASA promotional materials.

For Legal Reasons

We may disclose your information if required to do so by law or in the good-faith belief that such disclosure is reasonably necessary to comply with legal process, enforce our Terms, or protect the rights, safety, or property of CASA, our users, or the public.

Business Transfers

In the event of a merger, acquisition, or sale of all or a portion of CASA's assets, your information may be transferred as part of that transaction, subject to standard confidentiality arrangements.

4. Data Retention

We retain your personal information for as long as your account is active or as needed to provide the Services, comply with our legal obligations, resolve disputes, and enforce our agreements. Archived recordings submitted to the Archive may be retained indefinitely for archival and historical purposes, consistent with the license you granted in the Terms of Service. If you wish to request deletion of your personal data, please see Section 7 below.

5. Security

We implement reasonable administrative, technical, and physical safeguards designed to protect your personal information against unauthorized access, loss, misuse, or alteration. However, no internet transmission or electronic storage system is fully secure, and we cannot guarantee absolute security. You are responsible for maintaining the confidentiality of your account credentials.

6. Children's Privacy

The Services are not directed to children under the age of 13. We do not knowingly collect personal information from children under 13. If you believe we have inadvertently collected information from a child under 13, please contact us immediately at support(at)casa.org and we will take steps to delete that information.

7. Your Privacy Rights

7.1 Access and Correction

You may access and update the personal information in your account by logging in and visiting your account settings. To request access to or correction of other personal information we hold about you, please contact us at support(at)casa.org.

7.2 Deletion

You may request deletion of your account and associated personal information by contacting us at support(at)casa.org. Please note that we may retain certain information as required by law or for legitimate business purposes (such as records of completed transactions), and that media files you have submitted to the Archive may be retained in accordance with the license you granted under the Terms of Service.

7.3 Marketing Communications

If you no longer wish to receive promotional emails from CASA, you may opt out by clicking the "unsubscribe" link in any such email or by contacting us at support(at)casa.org. We will still send you transactional and administrative messages related to your account and submissions.

7.4 California Privacy Rights

If you are a California resident, you have the following rights under the California Consumer Privacy Act (CCPA), as amended by the California Privacy Rights Act (CPRA):

  • Right to Know. You have the right to request information about the categories and specific pieces of personal information we have collected about you, the sources from which it was collected, the purposes for collecting it, and the categories of third parties with whom we share it.
  • Right to Delete. You have the right to request deletion of personal information we have collected about you, subject to certain exceptions.
  • Right to Correct. You have the right to request correction of inaccurate personal information we maintain about you.
  • Right to Opt Out of Sale or Sharing. We do not sell or share your personal information for cross-context behavioral advertising.
  • Right to Non-Discrimination. We will not discriminate against you for exercising your privacy rights.

8. Third-Party Links

The Archive website may contain links to third-party websites or services. We are not responsible for the privacy practices of those third parties and encourage you to review their privacy policies before providing any personal information.

9. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our practices or applicable law. We will notify registered users of material changes by email or by posting a notice on the Archive website prior to the change taking effect. Your continued use of the Services after any update constitutes your acceptance of the revised Privacy Policy.
